Best resume format

There are three common resume formats. Reverse chronological lists your jobs from newest to oldest. Functional groups your skills and leaves dates in the background. Hybrid, sometimes called combination, opens with a short skills section and then lists jobs in order. For most people the reverse chronological format is the safe default, because recruiters are used to it and most screening software handles it well. The other two have narrower uses.

Reverse chronological: the default

Your most recent job comes first, with the title, employer, place, and dates, followed by bullets on what you did and what changed. Earlier jobs follow in order. Education and skills go after experience unless you are a recent graduate.

This format suits anyone with a steady history in the field they are applying to. It lets a reader see your current level and your path in a few seconds, and most application systems handle it well.

Functional: use with care

A functional resume groups experience under skill headings such as project management or customer service, with a short list of employers and dates at the bottom or none at all. People sometimes use it to hide gaps or frequent moves.

Some recruiters distrust it for exactly that reason, and screening software can struggle to connect skills to jobs. A short gap usually needs no explanation at all, and a longer one can be covered in a line or in your cover letter.

Hybrid: for career changers

A hybrid resume opens with a skills or highlights section of a few lines that point to the experience most relevant to the new field, then lists your jobs in reverse order as normal. It suits career changers and people whose most relevant work is not their most recent.

Keep the highlights section short and back each line with a job or project below it, so the reader can see where the skill came from.

Layout that software and people read well

Whatever format you choose, use one column, standard section headings such as experience, education, and skills, and a common font at a readable size. Put contact details in the body of the page rather than in a header or footer, which some systems skip. Avoid tables, text boxes, icons, and skill bars.

Save as a PDF made from a word processor, so the text stays selectable, unless the application asks for a Word file. Check by copying the text from your PDF into a plain text editor: if it comes out in order, a screening system can likely read it too.

Length and order

One page suits most people early in their career. Two pages are fine when the experience is relevant and recent. Older roles can be shortened to a title, employer, and dates.

Recent graduates can put education first. Everyone else should lead with experience. Within each section, the most relevant line for this posting goes first.

Choose a resume format

  1. Start from reverse chronological

It is the default readers and software expect.

  2. Switch to hybrid if changing fields

Add a short highlights section that points to transferable work.

  3. Keep gaps simple

Explain a long gap briefly rather than changing format.

  4. Use a simple one column layout

Standard headings, no tables, text boxes, or icons.

  5. Test the PDF

Copy the text into a plain editor and check it comes out in order.

What each format looks like, and which fits you

The first three show the shape of each format with invented details. The rest match common situations to a format.

Questions

What is the best resume format?
For most people, reverse chronological: newest job first, with titles, employers, and dates. Recruiters are used to it and most screening systems handle it well.
Is a functional resume a bad idea?
Often. Some recruiters suspect it hides gaps, and software can struggle to match skills to jobs. A hybrid resume is a better choice for most career changers.
Should my resume be a PDF or Word file?
A PDF made from a word processor is usually fine and keeps your layout. Send a Word file when the application asks for one.

ApplyASAP is one option when you want the sending done for you. It finds openings for the titles and places you name, tailors your resume to each posting, and does not invent employers, dates, degrees, titles, numbers, certifications, or people you managed. It answers the application questions, and the team sends and tracks each application. Skills it adds are ones your role and level usually carry, and you can take any of them off. The resume still has to be true.
